Rental Car Booking

If your organization has rental cars enabled, you’ll see a rental car step in your booking flow. Juno selects the best available vehicle based on your organization’s policy — your job is to review the selection and confirm it.

You don’t need to provide a credit card. Your organization handles payment for the rental car booking.

Reviewing Your Rental Car

The rental car step shows you the vehicle Juno has selected, including:

  • Vehicle class — Economy, Standard, SUV, etc., along with an example model
  • Vendor — The rental car company
  • Pickup and dropoff dates — Based on your trip itinerary
  • Total price — The full cost of the rental

Out-of-Policy Rentals

If the selected vehicle doesn’t fully comply with your organization’s travel policy, you’ll see a yellow policy alert explaining the issue. Common reasons include:

  • The vehicle class is not on your organization’s approved list
  • The daily rate exceeds your organization’s limit

When a policy alert is shown, the confirm button changes to Request to Book and a Reason for this request field appears. Fill in a brief explanation — your coordinator or approver will review the request before the booking is confirmed.

Once approved, your rental car is booked automatically. You’ll receive a confirmation email when that happens.

Confirming Your Rental Car

Click Confirm Rental Car to book the vehicle. If the booking requires approval, click Request to Book and submit your reason.

After confirming, you’ll see the result:

  • Confirmed — Your rental car is booked. Check your email for a confirmation with your rental details.
  • Needs Review — Your request is pending approval. You’ll receive an email once a decision is made.

Skipping the Rental Car

If you don’t need a rental car, click I don’t need a rental car at the bottom of the page.

Skipping the rental car step is permanent — you cannot add a rental car back after skipping. If you skip by mistake, contact your coordinator.

If your organization has Uber vouchers enabled for your trip, skipping the rental car step will provide you with an Uber voucher to cover ground transportation instead.

After Booking

Your rental car details appear in your itinerary. Bring your confirmation number to the rental counter at pickup.

If your organization has a corporate billing account with the rental car vendor, the charge goes directly to your organization — there’s nothing for you to submit as an expense. If you paid out of pocket for any rental car costs, submit them through the standard expense process. See Submitting Expenses for instructions.

  • Submitting Expenses — Submit rental car receipts if your organization doesn’t use direct billing
  • Uber Vouchers — Alternative ground transportation if you skip the rental car step
