Event Managers

When you create an event, you are automatically the event owner. If you’re working with other coordinators to manage the event, you can add them as event managers.

Adding Event Managers

  1. From the event dashboard, open the event settings (click the three-dot menu and select Edit Event, or click the Event settings quick action card)
  2. In the General tab, find the Event Managers field
  3. Search for and select coordinators from your organization
  4. Save your changes

You can add as many event managers as you need.

Event managers must be existing coordinators in your organization. You cannot add external users as event managers.

What Event Managers Can Do

Event managers have the same permissions on the event as the event owner:

  • Edit event details — Update the event name, dates, and managers
  • Manage groups — Create, edit, and cancel groups
  • Manage hotel options — Add, edit, and remove hotel options
  • Review approvals — Approve or reject out-of-policy flights, hotels, and expenses for any guest in the event (when the approval policy is set to the event coordinator)
  • Manage dynamic tiles — Create, edit, and delete event-specific tiles that appear on guests’ dashboards
  • View all guest data — See invite statuses, booking details, and trip information for every guest in the event

Events you manage (but didn’t create) appear in your My Events list alongside events you created.

Organization admins automatically have the same permissions as event managers on all events, without needing to be specifically added.

Removing Event Managers

  1. Open the event settings → General tab
  2. Deselect the coordinator you want to remove from the Event Managers field
  3. Save your changes

The event owner cannot be removed from the managers list.

The event owner is always an event manager, but not all event managers are the event owner. The only practical difference is that the owner cannot be removed and is always shown in the read-only “Event Owner” field on the event settings page.
