Flight Booking
Juno helps you find and book flights that comply with your organization’s travel policy. The system shows you available options and handles booking while ensuring everything meets your company’s requirements.
Searching for Flights
Your host has already provided the event location and dates, so the main thing you need to do is tell Juno where you’re traveling from.
Your Travel Details
On the search page, you’ll set up your trip:
- Departure city or airport — Type your city or airport to search and select from the results.
- Destination — The destination is already set by your host based on the event location. Your host selects which airports to include in the search. If multiple arrival airports are included, Juno shows results to each one and you can use the Airport filter on the results page to narrow flights to a specific arrival airport.
- Trip type — Choose roundtrip, one-way (outbound or return only), or multi-city if your organization’s policy allows returning to a different destination.
- Number of travelers — Select how many adults, children, and infants are traveling. Your host sets how many companions are allowed without approval.
- Cabin class — The default is based on your organization’s policy. You can select a different cabin, but options outside your policy will require approval.
Date Selection & Shoulder Nights
Juno automatically determines the best travel dates based on your event timing, flight availability, and your host’s travel policy. You don’t need to pick dates upfront — Juno handles this for you.
If your host allows, you can adjust your departure and return dates to arrive earlier or stay later. Juno shows you which dates are approved by default and which require approval.
Reviewing Flight Options
After searching, Juno shows you available flights with recommended options highlighted at the top of the page.
Adjusting Your Search
At the top of the results page, you can adjust your search at any time:
- Change your dates — Edit your departure and return dates. Juno shows which dates fall within your host’s policy and which require approval.
- Change other search criteria — Update your departure city, trip type, number of travelers, or cabin class.
Changing any of these starts a new search with your updated criteria.
What You’ll See
- Recommended flights at the top based on your event timing and policy
- Total travel time and number of stops
- Departure and arrival times
- Airline and aircraft information
- Cabin class
- Travel time estimates from the airport to your event venue (when applicable)
No Flights Available
If no flights appear for your selected dates, try adjusting your travel dates or departure city. Different dates often open up more options, especially if you have flexibility around your arrival or departure timing.
Event Timing Requirements
Some organizations require minimum time buffers between flight arrival and event start, or between event end and flight departure. Juno factors in real-time traffic data and estimated travel time from the airport to your event venue when determining which flights meet these requirements. This ensures you have adequate time to travel from the airport, check into your hotel, and get to the event.
When viewing flight options, you may see:
- Recommended timing — Flights that meet your organization’s buffer requirements, accounting for airport-to-venue travel time
- Warning indicators — Flights that arrive close to event start or depart soon after event end
- Blocked flights — Flights that don’t meet minimum timing requirements and cannot be booked
If a flight doesn’t meet timing requirements but isn’t blocked, you can request approval from your coordinator with justification for the tighter schedule.
Out-of-Policy Options
Some flights may be marked “Requires approval” — these don’t match your organization’s travel policy but can be selected if your host approves them.
Other flights and cabins may be marked “Not allowed” by your host. These are not bookable.
Adding Passenger Information
Before confirming your flights, you’ll provide traveler details for each passenger. You can fill these in here or ahead of time in Settings > Traveler Details.
Required information:
- Full name (must match government-issued ID exactly)
- Date of birth
- Phone number for airline communications
Optional enhancements:
- Frequent flyer numbers (automatically applied for benefits)
- TSA PreCheck or Known Traveler Number (KTN)
- Special assistance requests
Juno saves your traveler profile for future trips, so you only need to enter this information once.
After Booking
Once your flights are confirmed, you’ll see a confirmation page with your booking status. Juno sends a confirmation email with your flight details.
Checking Your Flights
Your booked flights appear in the itinerary on your dashboard. You can view flight details, confirmation numbers, and airline information at any time.
Making Changes After Booking
Once a flight is booked, changes require a travel agent. You cannot modify a confirmed booking yourself. To make changes:
- Open Scout chat from your dashboard
- Describe what you need changed (new dates, different route, etc.)
- Scout will connect you with a travel agent who can help
Changes to confirmed bookings — including date changes, route changes, and cancellations — must be handled by a travel agent through Scout. Self-service changes are only available before you confirm the booking.
Updating Traveler Details After Booking
Once tickets are issued, updates to traveler details cannot be automatically sent to the airline:
- Legal name or date of birth — Contact Scout to connect with a travel agent. The airline must update the reservation directly.
- KTN (Known Traveler Number) — Add this on the airline’s website using your confirmation number. Look for “Manage My Booking” or similar.
- Airline loyalty numbers — Add these on the airline’s website directly.
Resending Confirmation Emails
If you need another copy of your flight confirmation email:
From your dashboard: View your itinerary, select your flight booking, and use the resend option.
Through Scout: Ask Scout to resend your confirmation email — for example, “Can you resend my flight confirmation?”
Requesting an Out-of-Policy Flight
During the booking flow, if you want a flight outside your standard policy:
- Select the preferred flight (even if marked as requiring approval)
- Provide business justification in the approval request
- Submit for review — your coordinator will approve or deny
Flight Disruptions
If your flight is delayed or canceled, contact Scout via chat or phone at +1 (218) 275-5866. Scout will connect you to a travel agent to help rebook. For time-sensitive disruptions — missed flights, cancellations while at the airport — Scout prioritizes getting you connected with help quickly.
Accessibility Needs
When completing your booking, you can request airline assistance for:
- Developmental and/or intellectual disabilities
- Wheelchair required for distances within airport but can walk to seat
- Blind or vision impaired passenger
- Deaf or hearing impaired passenger
- Service animal
- Courtesy assistance through the airport
- Meet and assist service
- Does not speak English

Juno handles booking and payment, but the airline manages the travel experience. For airline-related service issues, contact the airline directly.
